BOARD OF DIRECTORS MEETING

VOLUNTEERED TO BE REINSTATED AS DIRECTOR ON THE BOARD.
HOMEOWNERS PRESENT: 20 HOMEOWNERS.
CALL TO ORDER:
MEETING WAS CALLED TO ORDER AT 7:01 PM AFTER ESTABLISHING A QUORUM OF MEMBERS.
OLD BUSINESS:
LEGAL: There is one property under foreclosure and it is under control.
FINANCIALS: As per Mohamad Kamaredine, Treasurer, the Association is in good shape, figures not available at this time and will be added at a later date.
Pool cabana roof repaired: it was discussed that DEO should inspect the palm trees that dropped the palm fronds and damaged the roof to make sure that it doesn’t happen again.
LANDSCAPING: David of DEO met with Nancy, Andre and Mohamad and walked the property to ascertain which homes needed sod and to point out trees that needed to be trimmed and bushes that needed maintenance. DEO agreed to provide sod for $300 per pallet to install where needed project to start in April, exact dates to be announced. Dave of DEO also pointed out trees that needed to be trimmed up 30% over the next three years in order to allow sunshine to reach the areas where it shielded the sod from the sun. An Oak tree was identified as having a vine growing on it that could potentially destroy the tree and that the vine will be removed. Three cul-de sacs were identified that need maintenance to rid them of overgrown bushes or trees that need to be removed or moved. Dave was asked advice about the ficus hedges around the community and walls. A full irrigation test was discussed and it was decided to turn that request over to EPM.
WEB Site update: we now have a new and user friendly web site and it was suggested we post a sign at the front notifying residents to check out the website. There are now homeowner docs that can be accessed by all members. All scheduled items concerning the community will now be accessible to all community members. Security for the web site is under review for the best way possible to secure it.
SECURITY AND FRONT GATE: Jay of EPM and a couple of Board members met with the current security company and it did not go well so he/HOA Board will meet with at least 3 new security companies to get quotes to provide us the front gate security we need/want.
NEW BUSINESS: A change in the way violations were handled was discussed and it was decided that the first letter (Friendly Notice) would give the member 30 days to correct or let the HOA Board know that it is being resolved and when the final outcome will be done. A second letter (Friendly Reminder) to remind the violator would be mailed out not more than 30 days after the first letter. then if there is no response a third letter (violation) with a fine would be sent to the violator.
MOTIONS:
Motion made by David to approve the minutes of the Jan. 15, 2019 HOA Meeting seconded by Andre, motion passed.
A motion to reinstate Walt MacDonald as a board member was made by Andre and seconded by David, motion passed.
MEMBER COMMENTS:
Sara Fine suggested that if a holiday occurs on a day that the regular emptying of the dog poop cans is to take place that EPM amends the schedule for that time period so the cans do not overflow.
Gary Stern commented that for 20 years the trees in his back yard have not been trimmed (10042 NW 2nd Ave. ) Trees from adjoining property south of the wall are encroaching on his property. Also there are some sprinkler heads/caps not maintained and he would like to have DEO check them out.
Judy Stoots complained that the queen palm trees, bushes in her back yard were not being maintained, she also wants to have her sprinklers checked. There are also palm fronds in her yard.
Dan (10160 NW 5 St.) said he wanted to replace his mail box with a nonconforming box and that he would furnish a picture and specs of it to the HOA Board for approval. He also had a comment as to who was maintaining the rodent boxes.
