MEETING MINUTES

CENTRAL PARK RECREATION CENTER

CALL TO ORDER

THE FEBRUARY16, 2016 SUNSET COVE BOARD OF DIRECTORS MEETING WAS CALLED TO ORDER AT 6:35PM

ROLL CALL

THE FOLLOWING DIRECTORS WERE PRESENT AT ROLL CALL:  PRESIDENT WILL HERNANDEZ, TREASURER GERRY HOLSTEIN, SECRETARY WALT MACDONALD, GLEN PARISH, SIMONE LUKE(6:40PM). THE FOLLOWING MEMBERS WERE ABSENT: VICE PRESIDENT NANCY BECTON AND DIRECTOR SAL GAMBINO

APPROVAL OF MINUTES

PRESIDENT HERNANDEZ   ADVISED THAT MEETING MINUTES FROM JANUARY 19,2016 MEETING COULD NOT BE APPROVED DUE TO THE LENGTH AND THAT THE MINUTES NEEDED TO BE REWRITTEN. SECRETARY MACDONALD AGREED TO DO THAT

PRESIDENT’S REPORT AND LANDSCAPE/IRRIGATION UPDATE

PRESIDENT HERNANDEZ THAT SO FAR SOME 109 PALLETS OF SOD HAD BE INSTALLED AND THAT THIS PROJECT IS ABOUT 98% COMPLETE.  HE ALSO ADVISED THAT OUR IRRIGATION SYSTEM IS RUNNING AND THAT THERE HAVE BEEN A FEW FAILURES WHICH HAVE BEEN REPAIRED.

FINANCIAL REPORT

PRESIDENT HERNANDEZ THEN TURNED OVER THE MEETING TO TREASURER HOLSTEIN   THE MONTHLY FINANCIAL REPORT. TREASURER HOLSTEIN REPORTED THAT THE $14,000.00 DOLLARS FROM THE JANUARY 2016 FINANCIAL REPORT HAD   BEEN POSTED IN THE WRONG LOCATION.  HOLSTEIN REPORTED THE FINANCIALS WERE IN GOOD SHAPE WITH THE COLLECTIBLES STILL A   PROBLEM HOLSTEIN   INDICATED THAT THERE WAS SOME $151,000.00 DOLLARS IN THE RESERVE FUND. THE TOPIC OF RESERVES PROVOKED A GREAT DEAL OF DISCUSSION. DISCUSSION   INCLUDED COLLECTIONS, REVISING THE “LOCK BOX” PROBLEM AND SELECTING A COMPANY FOR THE 2015 AUDIT.

TREASURER HOLSTEIN MADE A MOTION TO USE THE AUDITOR FROM PAST AUDITS AND TAX RETURNS, THE STROMER COMPANY.  THE MOTION WAS 2ND BY GLEN PARISH.  WITH NO ADDITIONAL DISCUSSION THE MOTION   PASSED UNANIMOUSLY.  DIRECTOR PARISH AGREED TO CALL STROMER COMPANY TO SET UP A CONTRACT TO DO THE WORK.

LEGAL UPDATE/COLLECTIONS

THIS PORTION OF THE MEETING WAS REPORTED BY DIRECTOR LUKE. DIRECTOR LUKE ADVISED THAT THERE ARE 10 HOMEOWNERS WHO ARE NOW IN THE HANDS OF THE ATTORNEY FOR COLLECTION. THE AMOUNT TO BE COLLECTED WAS SOME $24,000.00 DOLLARS.

MASTER ASSOCIATION REPORT

THE MASTER ASSOCIATION REPORT WAS HANDLED BY HOMEOWNER LIZ ALBERT APPOINTED LIASON TO THE BOARD.  HER REPORT INDICATED  5 HOMEOWNERS HAD SUBMITTED REQUIRED PAPERWORK RANGING FROM A HOME ELECTRICAL GENERATING SYSTEM, 2 POOL APPLICATIONS, A GARAGE DOOR, A FENCE AND 1 ROOF.  DISCUSSION BEGAN ON THE ELECTRICAL GENERATING SYSTEM THAT REQUIRED A PROPANE TAKE FOR FUEL AND WHETHER THE CITY OF PLANTATION WOULD APPROVE THIS APPLICATION; DISCUSSION BEGAN ON THE REVISING THE ARB FORMS PLACING ARB MEMBERS UNDER THE SUNSET COVE BLANKET INSURACE POLICY. A MOTION WAS MADE BY GLEN PARISH TO COVER ARB

MEMBERS UNDER THE SUNSET COVE INSURANCE POLICY. THE MOTION WAS 2ND BY SIMONE LUKE WITH NO ADDITIONAL DISCUSSION THE MOTION PASSED.  A MOTION WAS ALSO MADE BY GLEN PARISH TO CONTACT OUR ATTORNEY FOR A REVIEW OF THE ARB FORMS FOR A LEGAL REVIEW THE MOTIOJ WAS 2ND BY GERRY HOLSTEIN.  WITH NO ADDITIONAL DISCUSSION THE MOTION PASSED.THE MASTER ASSOCIATION LIASON REPORTED THAT THE “ASSOCIATION” WOULD BE CONTACTING THE CITY OF PLANTATION TO REPAIR THE MANY POTHOLES ALONG CENTRAL PARK PLACE.

OLD BUSINESS-FOR DISCUSSION

UPDATE ON GUARDHOUSE AND CABANA RENOVATION PROJECT

THIS PORTION OF THE MEETING WAS HANDLED BY PRESIDENT HERNANDEZ. HERNADEZ THAT THE GUARD HOUSE IS JUST ABOUT COMPLETED BUT RAN INTO A PROBLEM WITH LIGHT SWITCHES AND A PROBLEM SECURING THE AIRCONDITIONER OUTSIDE. THE WORK FOR THE BATHROOM POOLS WAS $42,000.00 AND THAT A FIRE INSPECTION FAILED BECAUSE EACH BATHROOM NEEDED FIRE EXTINGUISHERS.  WORK HAS NOT BEGUN ON THE BATHROOMS AS YET.

NEW BUSINESS

VIOLATIONS HANDLED BY BLUE CREST VIOLATIONS MAILED OUT FOR FENCE HEIGHT, AND A BLUE TARP ON A ROOF.

OPEN FORUM

DISCUSSION INVOLVED WEB SITE, ANTIQUATED DOCUMENTS, FENCES AND SOD COSTS.
